ECV Travel Notices, Terms and Conditions
We are ECV Travel and we look forward to the opportunity to act as your booking agent for your travel needs. Access to and use of the services of ECV Travel (“ECV Travel” and/or “our”) and our website is subject to acceptance of these terms and conditions (“Terms and Conditions”). By accessing, using or obtaining any content, products, or services through our offices or through our website, you, the purchaser and/or traveler (“Customer” and “passenger” and “you/your”) agree to be bound by these terms. PLEASE READ THE TERMS BEFORE USING THIS WEBSITE. IF THERE IS ANY PART OF THESE TERMS AND CONDITIONS YOU DO NOT AGREE WITH, PLEASE DO NOT USE THIS WEBSITE OR ECV TRAVEL’ SERVICES. No alterations to these terms and conditions may be made by any ECV Travel Group employee, authorized representative or agent, unless in writing by an authorized officer of ECV Travel.
Use of ECV Travel and Information for Travel Bookings
You warrant that you are at least 21 years of age and possess the legal authority to enter into this agreement and to make travel bookings with ECV Travel by any means, including our Web site in accordance with all terms and conditions herein. You agree to be financially responsible for all your travel bookings (as well as for use of your account by others, including, without limitation, minors living with you). You agree to supervise all usage of ECV Travel communications by minors under your name or account. You also warrant that all information supplied by you or members of your household transacting business with ECV Travel is true and accurate. Without limitation, any speculative, false, or fraudulent reservation or any reservation in anticipation of demand is prohibited. You agree that the travel services reservations facilities provided by ECV Travel shall be used only to make legitimate reservations or purchases for you or for another person for whom you are legally authorized to act.
Separate supplier terms and conditions will apply to your reservation and purchase of travel-related goods and services that you select. You agree to abide by the terms and conditions of purchase imposed by ECV Travel and any supplier with whom you elect to deal, including, but not limited to, payment of all amounts when due and compliance with the supplier’s rules and restrictions regarding availability and use of fares, products, or services. You understand that any violation of any such supplier’s conditions of purchase may result in cancellation of your reservation(s) or purchase, in your being denied access to any flights, hotels, cruises, or automobiles, in your forfeiting any monies paid for such reservation(s) or purchase, and in ECV Travel debiting your account for any costs ECV Travel incurs as a result of such violation. You shall be completely responsible for all charges, fees, duties, taxes, and assessments arising out of your travel bookings through access provided by ECV Travel.

Price quotes for travel are not guaranteed until reservations are confirmed with full passenger names and deposit payment. Quotes on airfare are not confirmed until paid in full and can change without notice. All prices are subject to change without notice and are subject to availability. Unless otherwise noted, price quotes typically do not include airfare, baggage fees, gratuities, meals, telephone calls, resort fees, incidental items, souvenirs, airport transfers or travel insurance.
Reservations, Deposit and Final Payment
A first deposit is required for all new reservations. After you make your first deposit, you are required to make monthly deposits or your booking may be canceled for abandonment of reservation. If you find yourself in a difficult financial situation and cannot make a monthly payment please email us immediately so we will know not to cancel your reservation. Please know it is your responsibility to be sure that whoever you choose as your roommate/ travel mate for your selected travel event is also making their monthly payments.
Unless otherwise defined during the reservation process, final payment is due prior to departure or consumption in accordance with each supplier’s (airline, hotel, cruise line, transfer company, sightseeing operators, and other travel service vendors) terms and conditions involved in your travel booking. If final and full payment is not received by the applicable due date, reservations are subject to cancellation and deposits shall be forfeited. In some cases, there is NO REFUND once a booking is made and paid for. Your right to a refund if you change or cancel your travel plans is limited. All cancellation requests must be sent to ECV Travel in the form of the official ECV Travel Cancellation form. As a result of cancellation ECV Travel and third party supplier’s cancellation penalties will apply, which are detailed in your travel documentation, each supplier’s websites. Cancellation penalties are advised at time of booking and provided to you upon confirmation. If you have any questions, or any penalties are unclear, please contact your ECV Travel consultant. Cancellation fees will be charged to the credit card you authorized to pay for travel services. ECV Travel Cancellation Fees are separate from Vendor Cancellation Fees. Vendor policies regarding cancellation fees will be relayed to all clients in your trip quote documents. There is a minimum monthly payment of $50, unless otherwise noted in the quote and/or agreement.
If you cancel, your cancellation fee will be $50 per person + the Vendor’s Fee, if applicable.
If you decide to change any portion of your confirmed arrangements prior to departure or during your trip, we will attempt to assist you. Due to Vendor(s) policy(ies) or time restraint(s), certain bookings may not be changed. Administrative charges of $25 or more per change/per person are advised at time of booking, provided to you upon confirmation, and depend upon circumstances of the request. All desired changes must be sent via email to ECV Travel. Changes will not be processed until the $25 administrative charges have been received.
Travel insurance is strongly recommended. It may be purchased, which may cover cancellation for covered reasons as outlined in the insurance policy. Insurance policies vary with differing exclusions (such as pre-existing conditions, work related issues, supplier bankruptcy, change of mind, etc.).
Photo identification is required for all travel. Travelers will not be permitted to depart without the proper identification. It is the traveler’s responsibility to verify and obtain any required identification prior to travel commencing. Please check with you U.S. Department of State for more information related to your travel destination. Special documentation is required for minor children traveling with or without their parents. If traveling with children, please check with the supplier before departure for any specific policies or restrictions. Non-U.S. citizens must contact the consulate of any countries you are visiting to verify any visa requirements. Non – U.S. citizens residing in the U.S. must also contact the U.S. Citizenship and Immigration Services for re-entry requirements into the U.S.
Passports are required for international travel and some countries require a visa. The passport needs to be valid for at least 6 months beyond the conclusion of your trip. You should apply and obtain a passport far in advance for any group travel outside the United States. Most airlines require us to submit your Passport information to them 60 days before travel. Please be sure your passport arrives before then if applying for a new one or getting a renewal. Please note that a hospital record is not a birth certificate. Once received by ECV Travel, travel documents are hand delivered locally or electronically. Otherwise, they are sent via US Postal Services, UPS or FedEx. For late bookings and rebooking, or if expedited delivery of documents is necessary, a $25 shipping fee will apply. We check all documents prior to delivery; please check your documents to confirm the accuracy of all information. Call us immediately at (816) 974 – 6145 if any errors are found. Tickets and vouchers are negotiable instruments – keep them in a safe place at all times. Lost, stolen, or destroyed tickets/vouchers cannot be replaced or refunded.
Airline Confirmation, Check-in, Seat Assignments, Missed Flights and Baggage Fees
It is important that you confirm your flights with the airline prior to departure: 24 hours in advance for domestic flights, and 72 hours in advance for international flights. Failure to confirm international flights or failure to use any portion of an airline reservation may result in automatic cancellation by the airline for all continuing and return flights. Familiarize yourself with your airline’s policies and requirements before booking. Unless stated otherwise by the airlines, it is important to arrive at the airport at least 2 hours prior to departure for domestic flights and 3 hours prior to departure for international flights. Late arrival at the airport can result in loss of assigned seats or denial of boarding. Denial of boarding is not eligible for refund or travel insurance reimbursement. Airfare rebooking is subject to airline penalties, rebooking fees, plus any cost difference of the new flight. Seat assignments are subject to change by the airline without notice.
Baggage fees of the airlines are not included in our package prices. If you decide to check baggage you must pay this fee directly to the airline. The carriers, accommodations and other suppliers providing services are independent contractors and are not agents, employees of ECV Travel.
Please report any disability requiring special attention to ECV Travel at the time the reservation is made. ECV Travel will make reasonable attempts to accommodate the special needs of disabled travelers, but is not responsible in the event it is unable to do so nor is it responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. The Americans with Disabilities Act is only applicable within the United States and facilities for disabled individuals are limited outside its borders. Most transportation services, including the touring motor coach, are not equipped with wheelchair ramps. We regret that we cannot provide individual assistance to a vacation participant for walking, dining, getting on and off motor coaches and other vehicles, or other personal needs. A qualified and physically able companion must accompany travelers who need such assistance and must assume full responsibility for their well-being. The passenger assumes the full risk of use and of any prohibitions imposed by vendors. Generally motorized scooters are not suitable on international tours.
Disclaimer of Liability
All prices are thought to be accurate, available, and current. The information, products, and services may include inaccuracies or typographical errors. ECV Travel does not guarantee the accuracy of, and disclaims liability for inaccuracies, including by not limited to the price, information, and description of the products and services described on this website.
ECV Travel is not liable for the acts, errors, omissions, representations, warranties, breaches or negligence of any supplier, or personal injuries, death, property damage or other damages or expenses resulting from causes outside of the control of ECV Travel. ECV Travel shall not be responsible for travel delays or cancellations or any illness, death, injury, damage or loss of vacation time arising there from. Changes to cruise ports of call or itineraries due to mechanical, weather, or world events beyond our control are at the sole discretion of the cruise line and may occur without notice. Any applicable compensation resulting from such occurrences is also at the sole discretion of the supplier. ECV Travel shall not be liable for any injuries, damages, or losses incurred by the traveler in connection with, or by supplier employees or contractors, terrorist activities, social or labor unrest, mechanical or construction failures, or difficulties, diseases, local laws, climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside of the control of ECV Travel. The Traveler assume the complete and full responsibility for checking and verifying any and all passport, visa, inoculations, or other entry requirements for each destination as well as re-entry into the U.S., and all safety or security conditions at such destinations, in connection with the proposed travel.
